We are looking for responsible professional for the role of Tender and Contract Administration Officer.
The Tender and Contract Administration Officer plays a crucial role in the organization, acting as a liaison between the customers, sales teams, and top management. This position provides robust back-office support, ensuring the company's effective participation in public tenders and customer quotation requests. The role demands a profound understanding of relevant national legislation and involves close collaboration with cross-functional teams, including research and diagnostic sales teams, to steer product strategy and fulfill business objectives.
Key Responsibilities:
• Oversee the tender process from identification to submission, ensuring compliance with national regulations.
• Prepare and submit accurate, competitive bids, coordinating with relevant departments.
• Monitor tender submissions, track deadlines, and ensure timely responses.
• Manage contract negotiations and renewals, aligning terms with company policies.
• Maintain up-to-date records of contracts and related documents.
• Coordinate with legal and finance teams to ensure contract compliance and resolve issues.
• Provide exceptional back-office support, addressing customer inquiries promptly.
• Assist sales teams with customer quotations and follow up on leads.
• Build and maintain strong customer relationships, providing tailored solutions.
• Collaborate with research and diagnostic sales teams to understand product offerings and market trends.
• Contribute insights to product strategy discussions from the tendering and contracting perspective.
• Facilitate communication between departments to align business objectives.
• Generate regular reports on tender outcomes, contract statuses, and customer feedback.
• Analyze data to identify trends, opportunities for improvement, and risks.
• Present findings and recommend strategies to top management.
• Assess and mitigate risks in tender participation and contracts, ensuring legal and regulatory compliance.
• Foster relationships with government entities and internal teams for smooth tender and contract processes.
• Regularly refine tender and contract processes, providing strategic insights on market trends and opportunities.
Required Qualifications and Skills:
• University degree in Business Administration, Law, Paralegal, or a related field. Public acquisitions certifications are a plus.
• At least 2 years' experience in tender management or contract administration.
• Strong analytical skills for accuracy and compliance in tender documents and contracts.
• Excellent written and verbal communication skills.
• Attention to detail for precise tender preparation and contract management.
• Ability to manage multiple deadlines efficiently.
• Problem-solving skills for effective solutions in tendering and contracting.
• Familiarity with public and private tender processes and regulations.
• Knowledge of contract law and related legal requirements.
• Understanding of financial principles related to tender bidding and contract values.
• Knowledge of local and international regulations affecting tender and contract activities.
• Proficiency in interpreting complex tender documents and legal contracts.
• Ability to maintain high performance under tight deadlines and stressful situations.
• Flexibility to adapt to changing market conditions and organizational needs.
• Strong decision-making skills based on thorough analysis and sound judgment.
• Fluency in English and Bulgarian.
